Link Building Outreach Templates — 10 Proven Email Scripts
10 tested outreach email templates for guest posting, broken link building, and resource link requests.
These ten scripts come from campaigns we have run — not hypothetical copy from a 2014 blog post. Response rates vary wildly by niche (3–15% is normal for cold outreach). Personalization on the first line and a genuinely useful link target matter more than clever subject lines.
Replace bracketed placeholders. Send from a real person's address, not outreach@. One follow-up after 5–7 business days; stop there.
1. Guest Post Pitch (Initial)
Subject: Idea for [THEIR SITE NAME]: [SPECIFIC TOPIC]
Hi [FIRST NAME], I read your piece on [SPECIFIC ARTICLE TITLE] — the section on [SPECIFIC DETAIL] matched something we've been testing with clients. I'd like to pitch a guest post: "[WORKING TITLE]" covering [2-3 bullet points of value, not a sales pitch]. I'm [YOUR NAME] at [YOUR COMPANY]. Past writing: [LINK TO 1 RELEVANT PUBLISHED PIECE]. If it's not a fit, no worries — happy to suggest a different angle. Best, [YOUR NAME]
2. Guest Post Follow-Up
Subject: Re: Idea for [THEIR SITE NAME]: [SPECIFIC TOPIC]
Hi [FIRST NAME], Quick bump on the guest post idea I sent [DAY]. Totally understand if you're buried — if timing's bad, I can circle back in [MONTH]. If helpful, here's a one-paragraph outline: [PASTE 3-4 SENTENCES] Thanks either way, [YOUR NAME]
3. Broken Link Building
Subject: Broken link on [PAGE TITLE]
Hi [FIRST NAME], While researching [TOPIC], I landed on your resource page: [URL]. One link in the [SECTION NAME] section returns a 404 — [DEAD URL]. Archive.org shows it used to point to [BRIEF DESCRIPTION OF OLD CONTENT]. We published an updated guide on the same topic: [YOUR URL]. It covers [WHAT THE OLD PAGE COVERED] plus [ONE NEW ANGLE]. Worth a swap if you're maintaining that list. Cheers, [YOUR NAME]
4. Resource Page Link Request
Subject: Suggestion for your [TOPIC] resources page
Hi [FIRST NAME], Your [PAGE TITLE] page is one of the cleaner resource lists I've found on [TOPIC]. I built [TOOL NAME / GUIDE TITLE] — [ONE SENTENCE ON WHAT IT DOES]. It's free, no sign-up: [YOUR URL]. If it meets your bar for inclusion, I'd appreciate a mention. If not, I'd welcome feedback on what's missing. Thanks, [YOUR NAME]
5. Skyscraper / Updated Resource
Subject: Updated data for your [TOPIC] roundup
Hi [FIRST NAME], Your article "[THEIR ARTICLE TITLE]" still gets linked from a few places in our niche — nice work. We just published [YOUR TITLE] with [NEW DATA POINT / 2026 BENCHMARK / ORIGINAL SURVEY N=XXX]. It expands on the section where you mention [SPECIFIC TOPIC]. If you're updating the post, it might be a useful reference: [YOUR URL] [YOUR NAME]
6. Unlinked Brand Mention
Subject: Thanks for the mention — quick link fix?
Hi [FIRST NAME], Thanks for mentioning [YOUR BRAND] in "[ARTICLE TITLE]" — we saw a spike in branded search from it. The mention isn't linked yet. Would you mind adding a link to [PREFERRED URL — usually a relevant guide, not homepage]? Totally fine if your editorial policy doesn't allow it — just thought I'd ask. Best, [YOUR NAME]
7. Podcast / Interview Follow-Up Link
Subject: Show notes link for [EPISODE TOPIC]
Hi [FIRST NAME], Great conversation on [EPISODE TITLE] — [ONE SPECIFIC CALLBACK TO SOMETHING DISCUSSED]. For show notes, the resource I mentioned is here: [YOUR URL]. Happy to provide a one-line description if useful. If you publish transcripts, feel free to link any tools or guides we referenced. Thanks again, [YOUR NAME]
8. Data Study Pitch to Journalist
Subject: Data: [HEADLINE STAT] on [TOPIC]
Hi [FIRST NAME], Saw your recent piece on [THEIR ARTICLE] — especially [SPECIFIC ANGLE]. We surveyed [N] [AUDIENCE] and found [HEADLINE STAT WITH NUMBER]. Methodology: [ONE SENTENCE]. Full data: [YOUR URL]. Embargo lifts [DATE] if you want an early look. Happy to answer questions or provide custom cuts for [THEIR BEAT]. [YOUR NAME] [YOUR TITLE]
9. Roundup Inclusion Request
Subject: For your "[ROUNDUP TITLE]" list?
Hi [FIRST NAME], Your annual [TOPIC] roundup is usually my first stop when clients ask for recommendations. [YOUR TOOL/GUIDE] might fit the [CATEGORY] section — [ONE DIFFERENTIATOR, NOT MARKETING FLUFF]. Link: [URL] If you're full for this year, I'll try again next cycle. Either way, thanks for maintaining the list. [YOUR NAME]
10. Partnership / Co-Marketing Link
Subject: Co-content idea: [TOPIC]
Hi [FIRST NAME], [YOUR COMPANY] and [THEIR COMPANY] both serve [SHARED AUDIENCE] — I don't think we're direct competitors on [SPECIFIC USE CASE]. Idea: a joint [CHECKLIST / WEBINAR / COMPARISON] on [TOPIC]. We'd promote to our [EMAIL LIST SIZE / CHANNEL] and link to your [RELEVANT PAGE] from the asset. Worth a 15-minute call to see if it fits your Q[QUARTER] plans? [YOUR NAME]
